Key Responsibilities:
1\.
๐ Answer and Direct Calls: Be the friendly voice that handles phone inquiries and directs calls efficiently.
2\.
๐ Document Management: Assist agents with loading time-sensitive documents and instructions, ensuring a streamlined process.
3\.
๐ฝ๏ธ Office Meetings and Lunch Organization: Attend monthly office meetings, and take charge of organizing office lunches to foster a positive team environment.
4\.
๐ Mailing Postcards: Create and prepare postcards for mailing to enhance our marketing efforts.
5\.
๐ Reports and Marketing Assistance: Prepare scheduled reports, assist agents with marketing tasks, and contribute to our online presence through social media maintenance.
6\.
๐๏ธ Policy Maintenance: Update and maintain office policies and procedures to ensure compliance and efficiency.
7\.
๐ฆ Supply Management: Order office supplies, research new deals and suppliers, and keep the office stocked and ready for success.
8\.
๐ Calendar Management: Generate monthly floor duty calendars to keep everyone on track and organized.
9\.
๐จ๏ธ Equipment Maintenance: Order toner cartridges for copiers, and be the go-to person for addressing any maintenance issues.
10\.
๐ค Client Interaction: Act as the main lobby receptionist, providing general support to visitors and being the point of contact for internal and external clients.
Qualifications:
โข ๐ Real Estate Knowledge: Proven experience as an Administrative Assistant with a strong understanding of the real estate market and MLS systems.
A current license is a plus!
โข ๐ผ Office Management Skills: Familiarity with office management systems and procedures, as well as proficiency in MS Office (especially Excel and PowerPoint).
โข โฐ Time Management: Excellent time management skills with the ability to prioritize tasks effectively.
โข ๐ค Problem Solving: Attention to detail and strong problem-solving skills to handle challenges that may arise.
โข โ๏ธ Communication: Outstanding written and verbal communication skills for effective collaboration.
โข ๐คน Multi-Tasking: Strong organizational skills to manage multiple tasks simultaneously.
