The Assistant Dir of Advancement Operations is responsible for managing and reconciling activity in the development clearing account monthly and assisting with accurate and timely allocation of gifts.
This position reports to the Director of Operations & Budget for the Advancement department.
Required Qualifications Bachelor’s Degree.
One year of experience working with budgets or in a related field.
Demonstrated ability to work as part of a team.
Excellent organization skills and attention to detail.
Ability to manage multiple projects and meet deadlines.
Ability to work quickly and decisively.
Excellent customer service skills with both internal and external constituencies.
Ability to perform the essential functions of the position with or without reasonable accommodation.
Preferred Qualifications Experience using SAP.
Experience in non-profit fund-raising.
Understanding of university policies and processes.
Knowledge of a range of gift types including planned gifts, gifts of securities, and gifts-in-kind.
Knowledge of a range of fund types including endowed funds, discretionary funds, and capital funds.
Duties & Responsibilities Assists with the daily operations of the Advancement gift entry department, ensuring that daily deposit preparation, gift batching, scanning documentation received with gifts, and processing of gift entries into the database are completed.
Assists the Director/Advancement Operations with monthly reporting for CMU Administration and the University Board of Trustees and ensures that reconciliations of campus partners; including Athletics and Public Broadcasting, are completed monthly.
Assists with processing in the Millennium (or its divisional equivalent) database for proper documentation and reconciliation of gifts.
Reconciles the development clearing account monthly.
Assists with accurate and timely allocation of gifts.
Provides oversight of the daily gift administration process and serves as a backup for the gift administration team in the event of staff absences.
Participates in weekly Gift Acceptance Processes & Standards (GAPS) committee meetings.
Processes new cost center request forms identified through the GAPS process, including new gift accounts, new endowment accounts, new scholarship accounts, etc.
Liaises with Accounting Services to add new gift accounts and endowment/scholarship accounts to the online giving chart of accounts once accounts have been officially created.
Functions as a back-up for the director, assisting with preparation of the monthly gift upload file and other monthly reconciliation/reporting processes.
Coordinates with Annual Giving staff to stay abreast of fundraising priorities to ensure proper coverage related to gift entry volume.
Processes stock gift and expectancy transactions and oversees the Gifts Entry staff in the absence of the Director/Advancement Operations & Budget.
Assists the Director/Advancement Operations & Budget with various ad hoc reports, annual survey data compilation, and with building coordinator responsibilities.
Serves as back up Building Coordinator in the absence of the Director/Advancement Operations & Budget.
